Every Mac comes with Preview. Nobody asked for it to become our default PDF editor, it just happened, the same way AirDrop became our default file transfer method. It opens fast, it’s already there, and for 90% of what we do with PDFs, it’s fine.<\/p>\n\n\n\n
The problem is that last 10%. And it’s usually the exact moment you’re in a hurry.<\/p>\n\n\n\n
Let’s give credit where it’s due first. Preview isn’t a toy. If your PDF needs are limited to reading, signing, and light markup, you genuinely don’t need anything else.<\/p>\n\n\n\n
Annotation and Markup:<\/strong> Highlighting, underlining, strikethrough, adding sticky notes, drawing shapes to point at something in a contract. All solid, all free, all built in.<\/p>\n\n\n\n Digital Signatures:<\/strong> You can sign with your trackpad, your camera, or a saved signature file. This alone replaces a whole category of paid apps people don’t realize they don’t need.<\/p>\n\n\n\n Page Management:<\/strong> Reordering, rotating, deleting, and merging pages by dragging thumbnails around. It’s basic, but it works, and it rarely breaks.<\/p>\n\n\n\n Basic Forms:<\/strong> Preview will let you fill out non-interactive forms by dropping text boxes wherever they need to go. Not elegant, but it gets a signed PDF back to whoever asked for it.<\/p>\n\n\n\n Here’s the part every “how to edit a PDF on Mac” article buries at the bottom, so let’s put it up front instead.<\/p>\n\n\n\n Preview cannot edit existing text in a PDF. Not “edit it awkwardly.” Cannot. If there’s a typo in a contract, a wrong date on an invoice, or a price that changed, Preview lets you cover it with a white box and type over it like it’s 2004. That’s not editing, that’s disguising.<\/p>\n\n\n\n Second problem: no OCR. If someone sends you a scanned document, essentially a photo pretending to be a PDF, Preview treats the whole page as one flat image. You can’t select the text, search it, or copy a single word out of it. For anyone dealing with scanned contracts, old invoices, or paperwork from an office that still owns a fax machine, this shows up constantly.<\/p>\n\n\n\n Third: converting a PDF into an editable Word file, or the other way around, isn’t something Preview does at all. You’re stuck exporting to image formats and hoping for the best.<\/p>\n\n\n\n None of this is a bug. Preview was never built to be a real editor, it was built to be a really good viewer that happens to sign things.
